SquadHub Privacy Policy

Last updated: October 11, 2026

This policy explains what personal information SquadHub collects, why, who we share it with, and the choices you have. We have tried to write it in plain English. If anything is unclear, contact us (Section 17).

1. Who we are

SquadHub, Inc. (“SquadHub,” “we,” “us”) is a Delaware corporation based in Los Angeles, California. SquadHub provides software that service contractors and property managers use to run their businesses, and a marketplace (the “Hub”) where they can assign work to each other.

Contact: · 11693 San Vicente Blvd, Suite 508, Los Angeles, CA 90049 · (+1) 310 804-5567. General support: .

2. What this policy covers

This one policy covers all SquadHub sites and apps:

  • squadhub.ai: our public website, including the sign-up form, the website chat assistant, and the blog.
  • squadhub.pro: the SquadHub app, for businesses only (login required). Service contractors and property managers use it to manage tickets, estimates, invoices, scheduling, calls, texts and email with their own customers.
  • cd.squadhub.pro: the customer dashboard, where a business’s customers open estimates, invoices and appointment details, pay, and may message the business. The dashboard shows the business’s own name and branding, with a small “Powered by SquadHub” footer that links to this policy and our Terms.
  • fso.squadhub.pro: the field app for a business’s technicians (login required).

It also covers the emails, text messages and phone calls sent or received through these services.

Who agrees to what. Businesses that sign up on squadhub.ai accept our Terms (squadhub.ai/terms), and their staff and technicians use squadhub.pro and fso.squadhub.pro under those Terms. A business’s customers who use the customer dashboard are not asked to accept our Terms. Their dealings with the business are governed by the business’s own terms. This policy explains how SquadHub handles their information.

3. Our two roles

(a) When SquadHub decides how information is used. For the businesses and people who sign up for SquadHub, and for visitors to squadhub.ai, SquadHub decides what information is collected and how it is used. This policy describes those practices.

(b) When SquadHub processes information for a business. Businesses on SquadHub enter information about their own customers: names, phone numbers, email addresses, property, building and unit details, job records, messages, call recordings, photos, estimates, invoices and payments, and (for property managers who use our tenant-screening tools) rental applicants’ screening information. SquadHub processes that information on the business’s behalf so the business can serve its customers. The business decides what it collects and why. The business is responsible for its relationship with its customers, including any notices it must give and any consent it must get.

If you are a customer of a business that uses SquadHub: when you open an estimate or invoice, pay, or message through the customer dashboard (cd.squadhub.pro), or receive texts and calls from the business, the business is who you are dealing with. SquadHub provides the software. The business’s own privacy notice and terms apply to how it uses your information. To ask about your information, or to access, correct or delete it: - contact the business directly, using the contact details on its estimates, invoices or messages; or - email us at , and tell us which business you dealt with. We will pass your request to the business and help it respond, or respond ourselves where the law requires.

4. Information we collect

Account and sign-up information. Name, email, phone number, company name, business address, job title or role, login credentials, and your answers to our sign-up and onboarding questions (for example, your type of business, service category and service area). We also record how you found us (for example, the referring website or campaign).

Website chat and contact forms. Messages you send to our website chat assistant or through a contact form.

Job records entered by businesses. Customer and contact details, property, building and unit details, tickets and service requests, estimates, invoices, appointments, notes, photos and documents.

Communications through SquadHub. Text messages, emails, phone calls, voicemails and in-app chat messages sent or received through SquadHub. Phone calls made or received through SquadHub may be recorded, and the recording is stored with the job record.

Payments. Payments are handled by our payment processor, Stripe. SquadHub does not store full card or bank account numbers. Businesses that get paid through SquadHub connect a Stripe account, and Stripe collects their identity and bank details. We receive payment status and amounts and, where Stripe provides them, limited payment-method details (for example, card brand and last four digits).

Text-message registration. To register a business’s texting with phone carriers, we send the business’s identity details (legal name, tax ID (EIN), address and authorized contact) to Twilio.

Tenant-screening information. If a property manager uses SquadHub’s tenant-screening tools, we store the screening information it enters about rental applicants on the property manager’s behalf. This may include:

  • the applicant’s name, contact details and date of birth;
  • employment and income history;
  • rental history, references and emergency contacts;
  • documents the applicant provides; and
  • the property manager’s screening results and notes, including credit and resident scores and criminal-history and eviction checks.

SquadHub does not run credit, criminal or eviction checks itself. The property manager decides whether to rent to an applicant, and the property manager is responsible for the notices and consents screening requires. Applicants should contact the property manager about their information, or contact us (Section 3).

Usage and device information. Pages and screens viewed, features used, actions taken (for example, “estimate viewed” or “invoice paid”), browser and device type, IP address, approximate location derived from the IP address, and error reports. See Section 8 (Cookies).

5. How we use information

We use information to:

  • provide, operate and support SquadHub, including sending estimates, invoices, payment links, reminders and job updates on behalf of businesses;
  • process payments and calculate fees and commissions;
  • set up and register phone numbers and texting for businesses;
  • answer questions, including through our website chat assistant;
  • send account and onboarding emails to people who sign up, which you can unsubscribe from;
  • understand how SquadHub is used, fix errors and improve the service;
  • keep SquadHub secure and prevent fraud and abuse; and
  • comply with law and enforce our Terms.

We use the job, customer and applicant information businesses enter only to provide, secure and improve the service for businesses. We never use it to market to those customers.

6. AI features

SquadHub uses OpenAI to power:

  • the chat assistant on squadhub.ai (“SquadBot”, shown as “SquadHub Assistant”), which is an automated AI assistant, not a person. The chat tells you it is an automated AI assistant; and
  • AI assistants inside the SquadHub app that help staff create contacts and tickets and answer how-to questions.

When you use these features, the text you type, which may include names, phone numbers, addresses and job details, is sent to OpenAI to generate a response. OpenAI does not use chat content to train its models and deletes it within 30 days.

7. Who we share information with

Service providers. We share information with companies that help us run SquadHub, only so they can provide their services to us:

Businesses on SquadHub. When you deal with a business through SquadHub (for example, you receive an estimate, pay an invoice or message the business), that business sees the information involved. When businesses work together on a job through the Hub, each sees the job details it needs.

Legal and safety. We may share information if required by law, to respond to legal process, to protect the rights, safety and property of SquadHub, our users or others, or to enforce our Terms.

Business transfers. If SquadHub is involved in a merger, acquisition, financing or sale of assets, information may be transferred as part of that transaction.

No sale, no targeted advertising. We do not sell personal information. We do not use it, or share it, for targeted (cross-context behavioral) advertising, and we do not use information about businesses’ customers for marketing. We have no plans to do any of these. If that ever changes, we will update this policy and give notice before the change takes effect.

8. Cookies and similar technologies

Cookies are small files a website stores in your browser. Similar technologies include local storage and tracking scripts. We use:

TypeWhereWhat it does
Essential sign-in and sessionsquadhub.pro, cd.squadhub.pro, fso.squadhub.proKeeps you signed in, remembers your session and keeps the service secure. These are needed for the apps to work.
Payment (Stripe)cd.squadhub.pro, squadhub.proLets Stripe process payments and detect fraud.

Analytics (PostHog)squadhub.ai, squadhub.pro, cd.squadhub.proHelps us understand how the sites are used (for example, pages viewed and key actions), so we can improve them. We do not record sessions; analytics records pages viewed and key actions only.

We do not use advertising cookies or allow ad networks to place cookies on our sites.

Your choices. Most browsers let you block or delete cookies and local storage. If you block essential cookies, you may not be able to sign in or pay. Blocking analytics cookies does not affect how the sites work.

9. Text messages

Businesses on SquadHub text their own customers about jobs those customers asked for (for example, scheduling, reminders, estimates, invoices and payment links, and job updates). They text from their own SquadHub numbers. Reply STOP to stop texts from that number, START to resume, and HELP for help. Message and data rates may apply.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with third parties.

10. How long we keep information

We keep account information for as long as your account is open and for 12 months after it closes, unless the law requires or allows us to keep it longer (for example, for tax, accounting, payment and dispute records). Information we process for a business (Section 3(b)) is kept for as long as that business’s account is open, unless the business deletes it sooner, and then as described above.

11. Security

We use administrative, technical and physical safeguards to protect personal information. Examples are encrypted connections (HTTPS), access controls and payment processing through Stripe. No system is completely secure, and we cannot guarantee the security of information sent over the internet.

12. Children

SquadHub is not directed at children or anyone under 18, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.

13. Your privacy rights

Wherever you live, and whether or not a state law requires it, you have the right to:

  • know and access the personal information we have about you, and get a copy;
  • correct inaccurate personal information;
  • delete personal information;
  • opt out of the sale or sharing of personal information or targeted advertising (we do not do these; see Section 7);
  • limit the use of sensitive personal information (we use it only to provide the service); and
  • not be discriminated against for using these rights.

How to make a request. Email with the subject “Privacy request”, and tell us what you are asking for. We will confirm we received it, and we may ask for information to verify your identity. An authorized agent may make a request for you with your written permission. If we decline your request, you may appeal by replying to our decision. If you are a customer of a business that uses SquadHub, see Section 3.

14. Do Not Track and Global Privacy Control

Some browsers send a “Do Not Track” signal. Because there is no common standard for it, we do not currently respond to it. Some browsers send a Global Privacy Control (GPC) signal, which asks a site not to sell or share your personal information. We do not sell or share personal information (Section 7), so a GPC signal does not change how we handle your information. If that ever changes, we will treat a GPC signal as a valid request to opt out for that browser.

15. United States only

SquadHub operates in the United States, and our services are intended for users in the United States. Information is stored and processed in the United States.

16. Changes to this policy

We may update this policy from time to time. We will change the “Last updated” date above. If the changes are significant, we will give notice, for example by email or in the app, before they take effect.
